Why members don’t renew, and what to send them before their plan ends

Most members who leave never decided to quit. Their plan ended, they missed a week, and the habit broke. A few well-timed messages fix most of it.

By Gymint team, 20 Oct 2026. 2 min read.

Ask a member why they didn’t renew and you rarely hear “I wanted to stop”. You hear “my plan ended during exams”, “I was travelling”, “I forgot”. Their plan ran out on a Tuesday, they missed a week, and the habit broke.

That’s good news. A member who forgot can be reminded.

Remind them before the plan ends, not after

Most gyms chase renewals after the plan has ended. By then the member has already stopped coming. The best time to talk about renewing is while they’re still walking in every morning.

A schedule that works for most gyms:

  1. 7 days before the end date. A friendly heads-up with the date.
  2. On the last day. A short nudge: today is the last day.
  3. 3 days after. “Your plan ended on Friday. Renew today and pick up where you left off.”
  4. After 2 weeks without a visit. A personal call from their trainer, not another message.

Keep the message short

Members read reminders on WhatsApp between other chats. One or two lines, their name, the plan and the date. Nothing else.

Hi Rohan, your Quarterly plan at Iron Republic Fitness ends on 7 Nov. Renew early to keep your streak going.

Avoid long offers, three emojis and a paragraph about your new equipment. Say what’s happening and what to do.

Give a reason to renew early

People put off paying until they have to. A small reason to act now helps:

  • Renew before the end date and keep your current price.
  • Renew early and get 7 extra days.
  • Upgrade to quarterly and save on the next three months.

Pick one and use it every month. A different offer every week confuses your own staff.

Watch the members who stop coming

A member who hasn’t come for ten days is the earliest sign of a lost renewal, often weeks before the plan ends. Make a list of them every Monday and have trainers call. A two-minute call that starts with “we missed you on the floor” brings back more people than any discount.

Track one number every month

Your renewal rate is the plans that were renewed divided by the plans that ended that month. If 62 plans ended in October and 41 renewed, your renewal rate is 66%.

You don’t need to compare it with other gyms. Compare it with your own last month. If it drops, look at who left: new members after their first month? Morning batch? One trainer’s members?

How Gymint does this

Gymint sends the plan-ending, plan-ended, balance-due and missed-workout messages on its own, on WhatsApp or SMS, in your wording. The dashboard lists every plan ending this week with a renew button, and Insights shows your renewal rate. You can switch each message on or off in Messaging, then Automatic messages.
