Every gym owner who uses a register knows it should be replaced. Most put it off because moving everything feels like weeks of work. It isn’t. Split into small pieces, it fits into a quiet weekend.
Friday evening: collect what you have
Put everything in one place before you start:
- The register, and any Excel sheets your staff keep
- The export from your old software, if you have one
- Your price list: every plan, its duration and its price
- Your staff list: who works the desk, who trains, who handles money
Saturday morning: set up the gym
- Gym details. Name, address, logo and GSTIN. These print on every receipt.
- Plans. Add each plan exactly as you sell it today: Monthly, Quarterly, PT 12 sessions, Couple plan. Don’t redesign your pricing on the same weekend.
- Staff logins. Give each person their own login, and only the permissions they need. The front desk doesn’t need to see your profit.
Saturday afternoon: bring the members in
Put your members in one Excel sheet with one row per member:
| Column | Example |
|---|---|
| Name | Priya Sharma |
| Mobile | 98765 43210 |
| Plan | Quarterly |
| Start date | 01-09-2026 |
| End date | 30-11-2026 |
| Amount paid | 3,000 |
| Balance | 1,500 |
A few things save hours later:
- Only active members, plus anyone whose plan ended in the last three months. Leave the people who left in 2021 in the register.
- Ten-digit mobile numbers. Reminders go to these, so check them.
- One date format for the whole sheet.
After the import, open ten members at random and compare them with the register.
Sunday: switch on reminders and train the desk
Start with two automatic messages: plan ending and balance due. Add more once you see how members respond.
Then train the front desk on the five things they do every day, using real members:
- Check a member in
- Sell a new membership
- Renew a membership
- Collect a pending balance
- Add a walk-in as a lead
The first week
Keep the register on the desk for one week, as a backup. If the software and the register agree by Saturday, put the register in a drawer.
How Gymint helps
Gymint’s import reads Excel and CSV files, matches the columns for you and shows a preview before anything is saved. Because the matching is loose, an export from your old software usually works without changes. And if you’d rather not do it yourself, send us the file and we’ll import it for you.
